Product Details
These individual tools provide and enhance a wide range of functions, from web services for easy ‘COTS’ integration of in-house and third party applications, to a remote cache refresh function. This design process allows for shorter development time, while increasing life-cycle stability by abstracting disparate product evolution timelines.
Cache Refresh and other modules provide administrators with tools specifically designed to increase productivity. These tools were originally built for our professional services teams to expedite client-solution delivery, so we know they work and are effective.
The tool kit is primarily a web based interface allowing for roaming administration.
FTK WEB SERVICE
There are many enterprise applications that should integrate with the corporate repository in order to automate the capture of system generated reports. FTK e-filing Tool allows the enterprise to file records between systems and abstracts the full API. One set of common web services allows secure access to content. System upgrades to the enterprise document and records management system (EDRMS) repository are abstracted, easing the effort, and therefore cost normally associated with these activities.
Integrate your intranet, accounting, and line-of-business applications for search, retrieve and uploading of records.
FTK FORM UPDATER
Forms should be tested in a lab environment before going into production. With FTK Form Updater old forms are preserved for rollback while being replaced with the modified forms rather than being created as new forms. This process alleviates additional database cleanup work, and new forms are immediately associated to the correct users and groups without further administration.
FTK FILE SIZE TOOL
By recording the file size in the eDOCS database the FTK File Size Tool can report occurrences of zero byte files. Further, the records office and DM supervisors may also use this information in reporting trends.
FTK EXPORTER
The Exporter tool provide departments with the ability to export content based on a tool set of their own design. All metadata is exported with all versions of the document / record in a single XML object. This method provides several key functions:
Any application with XML parsing capabilities can read and ingest the exported content.
Use case examples would include: XML objects can be stored as complete “point-in-time” records for litigation, archiving or transfer for RDIMS customers to LAC (Library and Archives Canada).
FTK IMPORT SERVICE
This data bridge is crucial for businesses to host their records in a safe and efficient environment. Records that are stored primarily on the file system do not contain meaningful metadata that can be leveraged. The FTK Import Service will migrate records to eDOCS using metadata mappings. Multiple jobs can be configured to accommodate the mapping requirements for certain documents. The service can be ran during specific hours of the week to reduce the performance impact on servers during operational hours.
FTK CLEAN-UP TOOL
It is sometimes necessary to dispose or remove the read-only status of DM records. Such a task is time consuming and repetitive. The FTK Clean-Up Tool is a product that provides the ability to queue specified records for deletion or removal of their read-only status. Each batch becomes a job that will run between configured hours of the week. A customizable report is generated to provide a detailed disposition summary of each record that was queued in the batch and disposed.
eDOCS ARCHIVING TOOL
The Archiving Tool also runs as a configured service. Based on a scheduled timeframe records that are stored on remote regional document servers are moved to a central storage location. The believe is that after a relatively brief period, business focus and record access drop off, access changes to research or ATIP manner of access. By centralizing these records, indexing is maximized and WAN utilization minimized. The provided documentation and scripts will allow you to easily create a new library to receive archival documents.
DATA BRIDGE (ENHANCED)
Enterprise business processes require data to be shared across platforms even multiple networks, in a secure, repeatable, and structured manner. The solution must support numerous unique data flows. The Data Bridge is a data-centric framework for distributing and managing real-time data across multiple intelligent distributed systems. It allows business teams to work with a common set of underlying data within frontend applications and devices as one cohesive system. The Data Bridge also allows for content to be moved between repositories as a business process evolves or data ages as a corporate archival asset to move content out of the user’s frontend application experience. The complete FTS Data Bridge solution is composed of three primary components. The ‘Data Bridge Engine’ is the primary application which provides the management interface of repository services, configuration, logging, and administration. ‘Source Repository Abstract’ provides the configuration for loading and transforming source content. While the ‘Destination Repository Abstract’ provides the configuration for loading source content into a destination repository. The Data Bridge independently supports multiple source to destination relationships. For example, a dozen shared folder Source Repository Abstracts would be mapped to a dozen Destination Repository Abstracts. Each pairing would be stored as a unique profile in the Data Bridge.
